 Job Description
WORK CONTEXT / BACKGROUND: Provide leadership to administrative sources & solutions for the various departments in the National Office and other WV Offices across the country and contribute to their efficient functioning. PURPOSE OF POSITION: 1. Office Administration 2. Office Maintenance 3. Supervising outsourced functions 4. Asset Management 5. Linkages in the Partnership Role and Responsibilities: 1. Proactively Design, implement and manage administrative systems for efficient functioning of the office for continuity of the business. 2. Network with government departments and other organizations with regard to postal /courier services, fire services, property tax and other utilities. 3. Ensure that all assets in the National office including buildings, equipments,machinery, furniture and fixtures are adequately insured. 4. Ensure that all equipments are covered by Annual Maintenance / Labour contract and are renewed periodically. 5. Ensure that all PMOs / ADPs have their office assets / furniture & fixtures insured and covered under annual maintenance contract in their respective locations. 6. Review lease deeds of all PMOs across the country and ensure compliance to World vision policy. 7. Ensure quality service is provided from outsourced functions such as Office Security, Housekeeping and Plumbing & Electricals. 8. Ensure that all assets in the National Office are systematically and accurately entered in the database. 9. Organize annual physical verification of assets in the National Office and ensure that they are audit ready. Ensure reconciliation of assets with finance records. 10. Facilitate deployment of Supply chain management system across the country. 11. Coordinate with all offices across the country and keep the partnership informed of loss of assets / accident above the approved value in the prescribed format within the given time. Important Functional Relationships: 1. Contacting Vendors for purchases, 2. Service providers for housekeeping, security, 3. Travel Agents for Ticket bookings, 4. Government Agency for approvals, payment of taxes, 5. Contacting Program/PMO staff For policy and procedures, purchase and disposal, 6. National office staff Maintenance and assistance. Major Challenges: Challenges - Possible Approach 1. Managing work space - Space management 2. No backup of staffs available - Have staff backups 3. Managing crisis situation like floods, sudden malfunctioning of equipments - Have preparedness plan 4. National office security - Tighten up office security procedures and systems
